This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and what choices you have. It applies to our websites, enrollment and checkout pages, certification programs, retreats, and related services (together, the “Services”). It should be read alongside our Terms and Conditions.
1. Information we collect
Information you give us: name, email address, phone number, mailing or billing address, business name, payment details (processed by our payment providers, not stored by us), enrollment and application information, certification and assessment records, feedback, and messages you send us.
Information from payments: transaction amount, currency, date, and payment status. Full card numbers are handled by Stripe and are not stored by ERA.
Information collected automatically: device and browser information, IP address, pages visited, and cookie data, collected through our website and analytics tools.
Media: photographs, audio, and video recorded during Programs, where you have not objected under our Terms.
2. How we use your information
We use personal information to:
enroll you, deliver Programs, and issue and verify Certification;
process payments, refunds, and invoices;
communicate with you about your enrollment, scheduling, and account;
respond to enquiries and provide support;
send marketing and newsletter communications, where you have opted in, and you can opt out at any time;
improve our Programs and website;
meet legal, tax, accounting, and regulatory obligations; and
protect the safety of Participants, staff, and studio partners, and enforce our Terms.
3. Legal basis and consent
We rely on your consent, which may be express or implied depending on the circumstances, and on our need to perform our agreement with you and to meet legal obligations. Where we need consent for a new purpose, we will ask for it. You may withdraw consent at any time, subject to legal or contractual limits and reasonable notice.
4. How we share information
We do not sell personal information. We share it only:
with service providers who process it for us under written obligations to protect it, including payment processors (such as Stripe), email and marketing platforms, website and hosting providers, learning platforms, accounting providers, and cloud storage;
with studio partners and facilities, where needed to deliver a Program or to arrange a practical placement you have agreed to;
with other Participants, only the information needed for shared learning activities and only where you have agreed;
with professional advisers, insurers, and regulators where needed;
to comply with law, respond to lawful requests, or protect rights and safety; and
in connection with a sale, merger, or restructuring of ERA, subject to protections for your information.
5. Payments
Payments are processed by Stripe and other third-party providers. Their handling of your payment information is governed by their own privacy policies. ERA receives transaction information needed for billing, accounting, refunds, and tax purposes.
6. Cookies and analytics
Our website uses cookies and similar technologies to keep the site working, understand how it is used, and, where you have consented, to measure and improve marketing. You can control cookies through your browser settings and, where available, our cookie banner.
7. Retention
We keep personal information only as long as needed for the purposes described here, including to maintain Certification records, meet legal and tax requirements (generally at least six years for financial records), resolve disputes, and enforce our agreements. When it is no longer needed, we delete or de-identify it.
8. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls and encryption in transit. No system is completely secure, and we cannot guarantee absolute security. If we experience a breach involving personal information that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by law.
9. Your rights
Subject to applicable law, you may ask us to:
confirm whether we hold your personal information and provide access to it;
correct inaccurate or incomplete information;
withdraw consent to marketing or other consent-based processing;
delete information we no longer need; and
provide a copy of your information in a portable format, where required by law.
To make a request, email info@elevatereformeracademy.com. We may need to verify your identity before responding. We will respond within 30 days, or as the law requires. You may also contact the Office of the Privacy Commissioner of Canada if you have concerns.
10. Accessibility and recordings
You may request that we avoid including you in recordings and images as described in our Terms and Conditions. Accessibility requests can be made to the same address.
11. Children
Our Programs are intended for adults. We do not knowingly collect personal information from anyone under 18 without parental or guardian consent. If you believe we have done so, contact us and we will delete it.
12. International transfers
Some of our service providers store or process information outside Canada, including in the United States or the European Union. Where this happens, we require the provider to protect the information to a standard consistent with this Policy, and personal information may be subject to the laws of the country where it is processed.
13. Changes to this Policy
We may update this Policy from time to time. We will post the updated version on this page and change the “Last updated” date. For material changes affecting how we use your information, we will notify you by email where practicable.
